In SpeechLive, dictations are classified by phases and states.
A phase is a distinct stage in the life-cycle of a dictation where the dictation is processed in a specific way. For example, recording and transcription are phases.
A state is a particular condition of a dictation within a phase. SpeechLive dictations can have the following states: pending, in progress, suspended and finished.
Recording | An author records a dictation and a sound file is created. |
Transcription | The transcriptionist plays back the dictation, types it and thus creates a text document. |
Correction | The speech-recognized dictation file has been sent for correction. |
Pending | The dictation file has not been worked on in this phase. |
In progress | The dictation file is being worked upon at the moment. |
Suspended | The dictation file has been opened for work, but closed again before it has been finished. |
Finished | Work on the dictation file has been finished in this phase. |

The life-cycle of a dictation involves the following transitions:
Recording in progress: | The author is working on the dictation and has exclusive access to the dictation. |
Recording suspended: | Recording can only be continued by the same author. |
Correction pending: | The author has sent the speech-recognizable dictation file for correction (SpeechExec + Dragon only). |
Correction in progress: | The author or the transcriptionist is working on the speech-recognizable dictation file and has exclusive access to the file (SpeechExec + Dragon only). |
Correction suspended: | Correction on the recognized text of the speech-recognizable dictation file can be continued only in the Correction window (SpeechExec + Dragon only). |
Transcription pending: | The author has finished recording; the dictation has not yet been opened by a transcriptionist. |
Transcription in progress: | The transcriptionist is working on the dictation and has exclusive access to the dictation. |
Transcription suspended: | Transcription can only be continued by the same transcriptionist. |
Queued for transcription service: | The dictation file is selected for sending it to the SpeechLive transcription service provider. |
Transcription service in progress: | The dictation file has been handed over to the SpeechLive transcription service provider. |
Queued for Speech recognition | The dictation file is selected for sending it to speech recognition. |
Speech recognition in progress | The dictation file has been handed over to speech recognition. |
Waiting for adaptation: | The dictation file has been corrected for adaptation and added to the Recognition and adaptation queue (SpeechExec + Dragon only). |
Adaptation in progress: | The dictation file is currently being used for adaptation of a Dragon NaturallySpeaking user profile (SpeechExec + Dragon only). |
Transcription finished: | The transcriptionist has finished typing the dictation. |

In the simple dictation workflow a dictation file goes through the following states:
The author starts recording: The file is in Recording in progress state.
Recording may be suspended to continue at a later time: The file is in Recording suspended state (SpeechExec only).
When recording is complete, the author finishes the file: The file is in Transcription pending state.
The transcriptionist starts transcribing the audio file: The file is in Transcription in progress state.
The transcription may be suspended to continue at a later time: The file is in Transcription suspended state.
The transcriptionist finishes transcribing the audio file: The file is in Transcription finished state. Files in this state have completed the dictation workflow.
With online speech recognition, a dictation file goes through the following states:
The author starts recording: The file is in Recording in progress state.
Recording may be suspended to continue at a later time: The file is in Recording suspended state.
When recording is complete:
the author may finish the file: The file is in Transcription finished state. Files in this state have completed the online speech recognition dictation workflow.
the author may send the file for correction: The file is in Correction pending state.
If the author has sent the file for correction, the author or transcriptionist starts correction: The file is in Correction in progress state.
Correction may be suspended to continue at a later time: The file is in Correction suspended state.
When correction is complete, the dictation file may be added to the adaptation queue: The file is in Waiting for adaptation state.
During the adaptation process, the dictation file is in Adaptation in progress state.
When the adaptation is complete, the file is in Transcription finished state. Files in this state have completed the online speech recognition dictation workflow.
With offline speech recognition, a dictation file goes through the following states:
The author starts recording: The file is in Recording in progress state.
Recording may be suspended to continue at a later time: The file is in Recording suspended state.
When recording is complete:
the author may finish the file: The file is in Transcription pending state.
the author may send the file for offline recognition: The file is in Transcription pending state.
If the author has sent the file for offline recognition, the file is added to the offline recognition queue and the author or transcriptionist starts offline recognition: The file is in Transcription in progress state.
When offline recognition is complete: The file is in Correction pending state
The author or transcriptionist starts correction: The file is in Correction in progress state.
Correction may be suspended to continue at a later time: The file is in Correction suspended state.
When correction is complete, the dictation file is added to the adaptation queue: The file is in Waiting for adaptation state.
During the adaptation process, the dictation file is in Adaptation in progress state.
When adaptation is complete, the file is in Transcription finished state. Files in this state have completed the offline speech recognition dictation workflow.
