Three professionals reviewing business documents created with Philips SpeechLive.

For many professionals, writing up a client meeting or site visit can take as much attention as preparing for it. Notes need to become a clear record of what was discussed and what happens next.

Before those notes become a useful report or summary, you need to organize the facts, separate decisions from open questions and record who will do what next. When similar documents recur every week, that work adds up.

AI document generation for business can help turn this information into a structured draft with less manual effort than starting from unstructured notes. Philips SpeechLive Professional AI Assistant brings that step into your dictation workflow, helping you create documents from voice and supporting materials that are ready to review.

What does turning voice into a business document look like?

After a project review, a manager may need to prepare an update for colleagues who were not in the meeting. The report needs to explain progress, record decisions and flag anything that could affect the next stage of work.

The relevant information may be spread across dictated notes, a revised schedule and a cost estimate. For example, the notes might describe which milestones have been completed, why a delivery has been delayed and how that affects the planned handover. They may also record an agreed change to the schedule, an outstanding budget question and the follow-up actions assigned to different team members.

Preparing the report manually means gathering information from notes and supporting files, reviewing the sources to understand how they relate and bringing the relevant details together. The manager then needs to organize that information under the required headings and write it up before reviewing and finalizing the document.

With voice input and AI assistance, however, the manager can dictate the key details and add supporting material. They can then simply select a template or create a custom one. The SpeechLive Professional AI Assistant uses the supplied information to generate a draft organized into sections that you choose – such as progress, schedule changes, outstanding issues and next steps. This reduces the work of manually combining sources and composing each section. The manager then has a document draft to review and refine before sharing it with colleagues.

Review remains essential. The manager must check that the draft accurately reflects agreed changes, keeps confirmed costs separate from estimates and has recorded responsibilities and deadlines correctly. Any information that is missing or unclear needs to be resolved before clicking ‘Generate’ and exporting the report.

Transcription and document generation: What is the difference?

Transcription and AI document creation serve different purposes within the same workflow.

Transcription converts spoken words into text. For example, a transcript has the dictated notes written out, including the approved schedule and outstanding budget question.

Document generation, on the other hand, goes further and organizes relevant information into the sections of a selected template. Rather than leaving everything in one block, the meeting summary separates the decision, open issue and next step.

The template provides the structure; the source material provides the facts. If something is missing from the notes, the professional needs to identify and resolve that gap during review. The AI Assistant only uses information from the input provided and does not create new information itself to fill gaps.

Speech Recognition Professional provides the transcription foundation for SpeechLive Professional AI Assistant's drafting workflow.

How does SpeechLive Professional AI Assistant work?

Philips SpeechLive Professional AI Assistant is an add-on to the existing Philips SpeechLive dictation and transcription platform. It uses spoken input and optional supporting files to help prepare structured business document drafts.

The workflow follows six steps:

  1. Capture your information. Record a dictation or upload audio containing the details you want to document.
  2. Choose a template. Select a system template or create a custom template by describing the document you need.
  3. Add supporting material. In the web app, you can upload up to 5 supporting documents, PDFs or images to provide additional source information.
  4. Generate the draft. The SpeechLive Professional AI Assistant uses relevant information from the supplied sources to populate the selected template.
  5. Review and refine. Edit the draft manually or use natural-language instructions to request changes.
  6. Export or delegate. Export the document to Word, PDF or text, or send it to a typist for further checks through SpeechLive.

This connects information capture, drafting and review in one workflow. It can reduce the manual work of bringing together and inputting source information, while giving you the flexibility and control to check the document yourself or delegate further review.

Who is it for, and which documents can it help draft?

SpeechLive Professional AI Assistant is relevant to professionals and team managers who regularly turn conversations, observations and source materials into business documents.

Illustrative applications include:

  • Financial services: Client meeting notes, advisory summaries and internal reports.
  • Construction and real estate: Site visit reports, inspection records and project updates.
  • Insurance: Claim assessments and case summaries.
  • Education and the public sector: Evaluations, meeting summaries and administrative reports.
  • Architecture and engineering: Design briefs, technical notes and inspection logs.

Across these settings, the common requirement is a repeatable document with a clear structure and a professional responsible for checking it.

For example, a site visit report may need observations, outstanding issues and follow-up actions. A client meeting summary may need discussion points, decisions and agreed next steps. The content differs, but the process of organizing supplied information into a reviewable draft is similar.

Any financial assessment, technical conclusion or other professional decision still requires the relevant expertise and review.

Why custom document templates matter

Teams often need documents to follow a consistent structure. Custom document templates help organize recurring information in the way they need, making it easier to understand documentation upon review.

You could instruct the AI Assistant to create a project update template with progress, outstanding issues, decisions and next steps. Review and adapt the generated structure, then save it for reuse. Consider whether it properly structures the information your colleagues need and whether responsibilities and deadlines have a clear place.

Custom templates are created through prompts and edits. You can upload supporting documents to provide context and further information for a draft, but importing an existing Word or PDF file as a reusable template is not currently supported.

Human review and responsible data handling

Before finalizing a draft and generating the document, check names, dates, figures, omissions and decisions against the source material. The transcript remains available for cross-checking. Resolve unclear or missing information before sharing the document. Our article on human review in AI-assisted legal drafting explores how this responsibility applies in legal practice.
