Using SpeechLive with Actionstep

You can create new dictations from either SpeechLive or Actionstep, or even update older dictations in SpeechLive with the correct Matter ID to make them available in Actionstep.

Its important, that your SpeechLive account administrator first sets up the Actionstep integration, see Set up Actionstep integration.

Start a new dictation from within Actionstep

  1. Log in to SpeechLive first.

  2. Open the required matter in Actionstep and click on the SpeechLive button.

  3. Click on the New dictation button, this will open SpeechLive in an extra window, adding all required information to link the new dictation to the matter you previously opened.

  4. Click on rec-icon.png to start recording.

  5. After you're finished, you can either choose:

    • Save as draft: Save your current dictation and continue working on it later.

    • Send to: Choose between different methods to further process your dictation:

      • Transcription service: Send the dictation to an external transcription agency that transcribes the dictation for you.

      • Speech recognition: Send the dictation to speech recognition, in this case the dictation will be transcribed via automated speech recognition.

      • SpeechLive AI: Send your dictation to SpeechLive AI to further process it. See Send dictations to SpeechLive AI for more information.

      • Typist: Send the dictation to your in-house typist or team.

      Some options may not be available for you, depending on the activated services for your account.

  6. Dictation and attachments are automatically synchronized with Actionstep. Transcripts are synchronized as soon as a typist or automatic speech recognition has processed the dictation.

Start a new dictation from within SpeechLive

  1. Navigate to the Dictations tab and click on the new_dictation_icon_button.pngNew dictation button.

    You can use the arrow in the corner of the button to switch between new_dictation_icon_button.pngNew dictation, new_speech_recognition_icon_button.pngSpeech recognition or upload-dictation_button.pngUpload.

  2. Scroll down to the dictation properties and open the Custom section. Enter the Matter ID of the matter to which this dictation belongs in the Matter ID field. Contact your SpeechLive account administrator if you are not sure in which of the custom fields you should enter the Matter ID.

  3. Click on rec-icon.png to start recording.

  4. After you're finished, you can either choose:

    • Save as draft: Save your current dictation and continue working on it later.

    • Send to: Choose between different methods to further process your dictation:

      • Transcription service: Send the dictation to an external transcription agency that transcribes the dictation for you.

      • Speech recognition: Send the dictation to speech recognition, in this case the dictation will be transcribed via automated speech recognition.

      • SpeechLive AI: Send your dictation to SpeechLive AI to further process it. See Send dictations to SpeechLive AI for more information.

      • Typist: Send the dictation to your in-house typist or team.

    You can also start a new dictation (or speech recognition session) from within the SpeechLive Mobile App. However, you will also need to enter the Matter ID manually in the dictation properties. See SpeechLive Mobile App for more information.

Start a new speech recognition session from within Actionstep

  1. Log in to SpeechLive first.

  2. Open the required matter in Actionstep and click on the SpeechLive button.

  3. Click on the New dictation button, this will open SpeechLive in an extra window, adding all required information to link the new dictation to the matter you previously opened.

  4. Click on rec-icon.png to start the speech recognition.

  5. Start dictating.

    X Your voice will be recognized, converted to text and displayed on the screen.

    • You can use voice commands, e.g. to insert special characters or line breaks. Click on voice-commands_button.png to display all available voice commands. You can continue dictating whilst displaying the voice commands.

      See Add custom voice commands for more information on how to add your own voice commands.

    • Click copy-to-clipboard.png to copy the text to the clipboard, you can then paste it to other apps.

    • You can use the arrow in the corner of the rec-icon.png button to switch between different speech recognition languages.

    • Click pause-icon.png to pause the current speech recognition.

    • When paused, you can also edit the recognized text in the Speech recognition transcript field.

  6. After you're finished:

    • Click Finish to save and close your dictation.

    • Click Send to typist to send the the dictation to a typist to check the recognized text for you.

      The Send to typist option is only available if it is activated in the Administration settings of your account.

  1. Navigate to the Dictations tab and click on the arrow in the corner of the new_dictation_icon_button.pngNew dictation button.

  2. Choose new_speech_recognition_icon_button.pngSpeech recognition.

  3. Scroll down to the dictation properties and open the Custom section. Enter the Matter ID of the matter to which this dictation belongs in the Matter ID field. Contact your SpeechLive account administrator if you are not sure in which of the custom fields you should enter the Matter ID.

  4. Click on rec-icon.png to start the speech recognition.

Transcribe dictations

Typists (as well as authors) can quickly access all dictations linked to a matter:

  1. Log in to SpeechLive first.

  2. Open the required matter in Actionstep and click on the SpeechLive button.

  3. Click on the All dictations button, this will open SpeechLive in an extra window and displaying all dictations off that matter within SpeechLive.

    Alternatively, you can also use the search function within SpeechLive and search for the Matter ID in the search field. Its also recommended to customize your dictation list and add the custom field containing the Matter ID to the dictation list, see Filter and sort dictations and customize dictation list.

  4. Typists can now open the dictation and transcribe them, see Transcribe dictations.

Reassign dictations to a different matter

You may need to reassign dictations to a different matter. In this case you need to manually update the Matter ID of the dictations:

  1. Log in to SpeechLive first.

  2. Open the required matter in Actionstep and click on the SpeechLive button.

  3. Click on the All dictations button, this will open SpeechLive in an extra window and displaying all dictations off that matter within SpeechLive.

    Alternatively, you can also use the search function within SpeechLive and search for the Matter ID in the search field. Its also recommended to customize your dictation list and add the custom field containing the Matter ID to the dictation list, see Filter and sort dictations and customize dictation list.

  4. Open the dictation and click on the edit button edit_icon.svg in the upper right.

  5. Scroll down to the dictation properties and open the Custom section. Enter the Matter ID of the matter to which this dictation belongs in the Matter ID field. Contact your SpeechLive account administrator if you are not sure in which of the custom fields you should enter the Matter ID.

  6. To save your changes click on the save button change_saves.svg in the upper right.

    X The dictation and all attachments will be reassigned to the different matter.
